What's on the hook

The obligations Keel watches.

Sponsoring a group health plan comes with a calendar of federal filings, documents, notices, and tests. Keel tracks every one and prepares it from data you already have.

ERISA filing
Form 5500
The annual return for your benefit plan, filed with the Department of Labor. Keel assembles it from your plan and census, ready for your sign-off.
Due the last day of the 7th month after plan year-end
ACA reporting
1095-C and 1094-C
The forms that prove you offered coverage. Keel generates a 1095-C for each employee and the 1094-C transmittal, ready to distribute and file.
Furnished early in the year, filed with the IRS
Plan document
ERISA wrap & SPD
The wrap document and Summary Plan Description that ERISA requires you to maintain and hand to participants. Kept current and distributed automatically.
Updated as the plan changes
Participant notices
SBC, SAR and more
The Summary of Benefits and Coverage, the Summary Annual Report, CHIP, and the other notices participants are owed. Generated and sent on schedule.
On the calendar, sent on time
Testing
Nondiscrimination (NDT)
The tests that confirm your plan does not favor highly compensated or key employees, including Section 125 and 105(h). Keel runs them and shows the result.

Every filing, every date, and every copy that went out, retained in one place. If a regulator or auditor asks, you can show your work in seconds.
Always on, always retained
How it works

Amanda runs the whole calendar.

No consultant to brief, no attorney to chase, no reminder you set for yourself. The work happens from the data Keel already has.

1

Tracks every deadline

Amanda maps your plan to its filings, documents, notices, and tests, then puts every one on a live calendar so nothing is a surprise.

2

Prepares the filing

Each form is assembled from the plan and census Keel already holds. No re-keying a 5500 every summer, no rebuilding a 1095-C set by hand.

3

Files on time

You review and approve, and Amanda submits to the right agency or sends the notice to participants, ahead of the deadline, every year.

4

Keeps the audit trail

Every submission, date, and copy is retained in one place, so a clean, audit-ready record is always a click away if anyone asks.

Built for trust

Plan and filing data. Never claims.

Compliance runs on what your plan and census already say. Keel never ingests claims, medications, or diagnoses, so there is no clinical data sitting where it does not belong. The thing that keeps you compliant is the thing that keeps the data clean.

No claims or clinical dataFilings come from plan terms and census, not health records.
Encrypted, sensitive data onlyCensus and SSNs are handled as encrypted sensitive consumer data.
One clean audit trailEvery filing and notice retained, dated, and ready to produce.
Better together

It starts from the data you already have.

Shield does not ask you to assemble anything. It pulls from the same suite that runs your enrollment and your ben-admin handoff.

Questions

The details.

Which filings do you handle?
The core of group-health-plan compliance: the ERISA Form 5500, ACA reporting on the 1095-C and 1094-C, the ERISA wrap document and Summary Plan Description, the required participant notices such as the Summary of Benefits and Coverage and the Summary Annual Report, and nondiscrimination testing under Section 125 and 105(h). Keel tracks each one's deadline and prepares it from the plan and census it already holds.
Do you file, or just prepare?
Both, with you in control. Amanda prepares each filing ahead of its deadline and surfaces it for your review. Once you approve, she files it with the right agency or sends the notice to participants. You are never left to assemble a form yourself, and nothing goes out without your sign-off.
What about state notices?
State-level notices, where they apply to your plan and the states your employees live in, are tracked on the same calendar as the federal obligations. Keel maps the requirement to your population and prepares it the same way, so a state notice is never the one thing that slips. Specifics depend on your plan and states, which we confirm during setup.
Is there an audit trail?
Yes. Every filing, every notice, every date, and every copy that went out is retained in one place. If a regulator or auditor asks, you can produce a clean, dated record in seconds instead of reconstructing it from inboxes and shared drives.
What data do you touch?
Plan terms and census, the same data that runs your enrollment. That is all compliance needs. Keel never ingests claims, medications, or diagnoses, so there is no clinical data in the mix. Census and SSNs are handled as encrypted sensitive consumer data. The posture that keeps you compliant is also the posture that keeps the data clean.
